Construction Purchase Order Template

A construction purchase order requests and authorizes the purchase of supplies needed for a job from an outside seller or subcontractor. It’s usually completed by a general contractor (GC) and given to a materials supplier. The document should provide a list of the items being ordered, the total cost, the names and addresses of the buyer and seller, and the shipping information.

What’s a Construction Purchase Order (PO) Used For?

Ordering materials – The most common use of the form is for authorizing the purchase of building materials, fixtures, etc.
Renting equipment – A purchase order can be used to approve and request the rental of construction equipment.
Subcontracting – General contractors may use a PO to subcontract trade work such as plumbing, electrical, or HVAC.
Recurring purchases – Larger projects may require regular deliveries of materials or have ongoing rentals.

Purchase Order vs. Work Order

Although both purchase and work orders are used to request services and materials, the two types of forms are different in their common usage and primary purpose.

Purchase order – Authorizes purchases of materials, products, and equipment. May be used for ordering services, including subcontractor work.

Work order – Assigns and authorizes work to be performed. Any materials needed for the job are often included along with their cost.
